Your Stay at Bethlehem Centre

Terms and Conditions

As we all aim to keep our community safe and healthy, we ask that anyone experiencing symptoms of any communicable illness refrain from attending programs. With that in mind, refunds will be at the discretion of the Executive Director.

 Individual Guest Bookings

Deposits

A non-refundable deposit is required for all reservations.

The deposit for personal retreat guests is the first-night lodging/food for each person, for day program attendees it is 100% of the day workshop fee. 

Final Payment

Any outstanding balance is due upon arrival.

Supporting Bethlehem Donations

If any donations have been applied to any guest statements and the participant cancels for any reason the donation must still be collected.

Cancellations by the Guest

With cancellation notice of at least seven days, Bethlehem will issue a credit voucher for the amount of your deposit, less a $25 processing fee.  If you cancel less than seven days in advance, your deposit will be forfeited.

Cancellations by the Centre

In the event a program is cancelled by the Centre (to comply with public health orders or other reasons), refunds will be made in full to all registrants within two weeks of the announcement of the cancellation.  Alternatively, a deposit may be used by individual guests as a credit for future programs or services.

Group Bookings/Programs

Soft Holds

The Centre offers soft holds for group bookings, a kind of temporary reservation for dates. You will be sent a quote/agreement with a deposit request to confirm the dates, venue and room block.

In the case there is another request for the same dates, the guest with a soft hold must provide a 25% deposit within 3 days to confirm the booking. If the guest with the soft hold is willing to release the dates, the other guest will receive a quote/agreement and must provide a 25% deposit to confirm the booking.

Deposits

Confirmed bookings and program participation require a 25% deposit at the time of booking.  A second deposit of an additional 25% is required at least 45 days in advance of the booking.

Final Payment

Any outstanding balance is due upon arrival.

Cancellations by Group

If a booking is canceled within 90 days or less of the scheduled date, deposits are non-refundable. However, if a booking is canceled before the 90-day period, the group may be eligible for a refund, subject to a mimimal nominal $25 processing fee.

Cancellations by Centre

In the event that the Centre is unable to provide space for the booking due to a public health order or other reason, the deposit will be refunded in full or the deposit may be used to secure a future date.

Participant Attrition

If the number of participants in the program is reduced by more than 2 participants between 30 days and one week prior to the event, a 50% refund for each participant cancelled applies.  One week prior to the event there will be no refund for a reduced number of participants.

Alcohol

For the purposes of hospitality, alcohol consumption on the premises of Bethlehem Centre is permitted. It is understood that alcohol use will be responsible, and that, should any abuse occur, the Centre will be forced to ask the abuser(s) to leave.

If a bar, whether no-host or host, is being offered, it is up to the guest, not the Centre, to obtain the Special Event Permit and abide by its regulations.

A copy of this completed form is required to our Guest Services Team before or upon your arrival. 

Service Dogs

Bethlehem only allows certified service animals on the property, under the following conditions:

a. That the pet will be under complete control of a responsible human companion and on a hand-held leash or in a pet carrier when outside the venue.

b. That any damage caused by the animal will be the full financial responsibility of the guest/renter to pay for restoration to its original condition.

c. That the renter will provide ample food and water, will clean up any pet feces and will not leave the pet unattended for any undue length of time.

d. Renters will prevent pets from engaging in behaviors or creating excessive noise, jumping, and running.

Smoke-Free Environment

Smoking on the property is prohibited, including vaping devices. If you have any guests who need a smoking environment they must exit Bethlehem property. Please be respectful when disposing of smoking materials. Bethlehem is located in a forest, fire safety is a must.

Open Flame

Open flames will only be allowed for ceremonial purposes under the following conditions:
a. Open flame will only be allowed with advance permission.
b. A signed and witnessed waiver outlining the day and time of use.
c. Two individuals will sign the waiver and be responsible for the open flame.
d. Open flame candles must be attended.
e. A fire extinguisher is required to be at hand while candles are burning.
f. Candles must be in a container that will protect the surface and collect the wax.
g. Smudging needs a collection container for falling ashes.
h. Damages are the responsibility of the user of open flame signatures above.

Damage to Property

A $250 cleaning fee will be charged to a reservation should evidence of dood spillage, smoking, or pets be found in the reserved room.
