Your Stay at Bethlehem Centre

Terms and Conditions

As we all aim to keep our community safe and healthy, we ask that anyone experiencing symptoms of any communicable illness refrain from attending programs. With that in mind, refunds will be at the discretion of the Executive Director.

Individuals (guests not booking with a group)

A non-refundable deposit is required for all reservations.

The deposit for individual guests (not booking with a group leader), is 50% of the total amount of the booking and for day program attendees it is 100% of the day workshop fee.

Final Payment

Any outstanding balance is due upon arrival.

If any donations have been made during registration, and the guest cancels for any reason, the donation will be processed and a charitable receipt issued, unless requested otherwise.

Cancellations by the Guest

With a cancellation notice of at least ten days, Bethlehem will issue a credit voucher for the amount of your deposit less a $25 fee.

If you cancel less than ten days in advance, 75% of your deposit will be refunded via a voucher. If you cancel within 5 days, the deposit will be forfeited. Vouchers are good for 1 year.

Cancellations by the Centre

In the event a program is cancelled by the Centre (to comply with public health orders or other reasons), refunds will be made in full to all registrants within two weeks of the announcement of the cancellation.  Alternatively, a deposit may be used by individual guests as a credit for future programs or services.

Group Bookings

Soft Holds

The Centre offers soft holds for group bookings, a kind of temporary reservation for dates. You will be sent a quote/agreement with a deposit request to confirm the dates, venue and room block.

In the case there is another request for the same dates, the guest with a soft hold must provide a 25% deposit within 3 days to confirm the booking. If the guest with the soft hold is willing to release the dates, the other guest will receive a quote/agreement and must provide a 25% deposit to confirm the booking.

Confirmed bookings require a 25% deposit at the time of booking.  A second deposit of an additional 25% is required at least 45 days in advance of the booking.

Final Payment

Any outstanding balance is due upon arrival.

Supporting Bethlehem Donations

If any donations have been made during registration, and the guest cancels for any reason, the donation will be processed and a charitable receipt issued, unless requested otherwise.

Cancellations by Group

If a booking is canceled within 90 days or less of the scheduled date, deposits are non-refundable. However, if a booking is canceled before the 90 day period, the group may be eligible for a refund*, subject to a $100 processing fee.

a. If multiple venue have been booked for multiple days and can not be rebooked for the booking dates, the refund may be with held.
b. If public health restrictions prevent the program from taking place, a refund will be issued, less a $100 processing fee.
c. If a group is experiencing a lack of registrations (as the 90-day date approaches), please reach out to discuss.

Cancellations by Centre

In the event that the Centre is unable to provide space for the booking due to a public health order or other reason, the deposit will be refunded in full or the deposit may be used to secure a future date.

Participant Attrition

If the number of participants in the group booking/program has reduced participants 30 to 10 days prior to the event, a 50% refund for each participant canceled applies.

Within ten days prior to the event there will be no refund for a reduced number of participants. A credit voucher will be issued on file. Vouchers are good for one year.
